Facilities Coordinator

Location: Headquarters, Washington, DC 
Supervisor: Chief Operating Officer

 

BASIC SUMMARY:

This entry level full-time permanent position works as a member of the facilities team and provides general support across all department services including mailroom, front desk coverage, general maintenance and engineering support. The position receives daily direction from the facilities director with overall coordination of services overseen by the Chief Operating Officer. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

General Building Maintenance:

  • Keep common areas, reception, hallways, etc., free of boxes by disposing of or moving into appropriate storage areas

  • Assist with office moves to include moving of furniture and equipment.

  • Support the Office Services Manager and Plant Engineer with daily walk-through of the facility to ensure cleanliness of common spaces and identify maintenance issues. 

  • Ensure conference rooms are orderly and clean.

  • Retrieve meeting equipment from equipment closet and place in meeting rooms as needed by staff.  Replace equipment in equipment room at the conclusion of the meeting.

  • Assist the Office Services Manager in maintaining on-site and off-site storage.

 

Administrative Duties:

 

  • Assist the Office Services Manager with running the mailroom; assist staff with copying, faxing, and metering mail on an as-needed basis

  • Open mail and distribute mail to staff as appropriate

  • Take Federal Express packages to offsite processing location

  • Assist staff with general mailings on an as-needed basis

  • Arrange for outside courier services for staff as needed

 

Reception and Front Desk:

  • Serve as backup coverage to the receptionist. Answer/screen incoming telephone calls; route all calls accordingly; take messages as requested

  • Cover for the front desk during receptionist lunch and other breaks. Greet visitors and provide membership materials and/or other organizational information as required.

  • Monitor front and loading dock activity via security monitor.      

  • Accept packages and inform recipients as necessary.

  • Perform all other related duties as assigned.

 

QUALIFICATIONS:

  • Education: High school diploma or equivalent

  • Experience: 1+ years of general office administration experience

  • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.

  • Other:

  • Ability to multi–task, prioritize, and work well with others

  • Demonstrated initiative in streamlining, developing and implementing procedures to control costs

  • Solid communications skills

 

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is regularly required to use a computer and mail metering machines.

  • The employee is regularly required to push, pull and lift boxes ranging up to 60 pounds. The employee is required to assist in moving furniture including desks, bookshelves, tables, chairs and other office furniture/equipment.

  • The employee is required to be able to open and sort mail.

  • The employee is required to answer phones, route calls and verbally interact with visitors and staff in the building.

  • The employee is required to walk, climb stairs, and access storage facilities in the basement and roof.

 

WORK ENVIRONMENT:

  • General office working conditions, the noise level in the work environment is usually quiet.

Salary Range:

$15.86 - $16.83 an hour
